A LITTLE LIFE GUIDE / EXPLAINER

Avoid counting a receipt and its bill twice

An invoice and a payment receipt may describe the same expense.

An invoice and a payment receipt may describe the same expense. Keep their relationship clear before confirming both records as spending, especially when they arrived through different channels.

THE LITTLE THING TO REMEMBER

Count the expense once while preserving the evidence you need.

01

Start with the source

Compare provider, account reference, period and amount. A screenshot of the payment result may be useful evidence for the original bill without representing a second purchase. Similar totals alone do not prove duplication.

02

Make the review useful

Each source capture can contribute once to confirmed spending, but importing the same expense as two different captures can still create two records. Review duplicates yourself rather than expecting automatic bank-style matching.

03

Keep the next step clear

Choose the existing bill record as the place to update payment status when appropriate. Use notes to explain the receipt reference. If you retain an additional document, review whether it should be marked Not an expense instead of confirming the same amount again.

PUT IT INTO PRACTICE

One step at a time.

  1. 01

Find the related invoice and payment receipt.

  2. 02

Compare provider, period and identifying references.

  3. 03

Update the appropriate existing bill record.

  4. 04

Check the month total after correcting duplicate confirmation.

A little reference.

ONE MORE QUESTION

Will several actions on one capture multiply its spending?

No. Confirmed spending counts a source capture once; separate duplicate captures still need your review.

Your source stays the reference.
