A well-written reply can still be wrong if it goes to the wrong person. Review the recipient as part of the task, especially when an imported message proposes an address.
Check the destination twice: once in the reviewed task and once where delivery actually happens.
Confirm the address from evidence
Inspect the original message and decide whether the sender is the person who should receive your reply. An imported From address is a suggestion for review, not a guarantee of the intended destination. Keep names and email fields distinct when several people are mentioned.
Review the composer too
Enter a valid saved email recipient when using the mail composer path, then inspect the actual composer before sending. Check subject, body, attachments and recipients there. A corrected address in a note does not automatically prove the external composer reflects what you intended.
Keep evidence and outcomes distinct
For a conversation involving several people, distinguish the person mentioned in the body from the address that should receive your reply. Read the original sender and any explicit instructions about where to respond. Enter the reviewed destination in the task, then inspect the external composer after opening it. If the context only gives a name, make confirming the address the next action rather than inventing a likely email. A wrong recipient can make an otherwise accurate message unhelpful or disclose information to someone unintended. The final useful check happens where the send button exists, with the actual recipients visible, not merely where a proposed name appeared in the captured source.
Your little checklist.
Open the task and read its source message.
Confirm the intended person and complete email address.
Review the recipient field before opening the composer.
Inspect the composer’s final recipients before sending yourself.
A little reference.
Keep the context and your next action together.
| Choice | Use it for | Check before saving |
|---|---|---|
| Source sender | Where the message came from | May not be your intended recipient |
| Task recipient | Reviewed destination | Use a valid address |
| Composer recipient | Actual external destination | Check before sending |
Can I trust every imported From address as my reply target?
No. Treat it as a proposed recipient and confirm the intended destination from the actual context.
