A saved action can outlive the source that created it. Review source retention when you want a document’s context or normalized image preview to remain available for later inspection.
A retention choice should match the history you expect to review later.
Read the current setting
New workspaces keep records until deleted, while an older workspace can retain its previous setting. Open source retention in settings and inspect what this device actually uses. Do not assume an application update has changed the retention choice you made earlier.
Understand what expiry affects
Source expiry is applied when the workspace is opened or resumed. Derived actions can remain, while the source record and its dashboard context may disappear. Retention is not a promise to preserve the full original PDF or full-resolution image; keep original important files separately.
Review the result against the source
Try opening a record you expect to need next year and inspect what supporting material is actually present today. Check its recognized source text, reviewed fields and any saved normalized image. Then choose the retention policy that matches that expectation on this device. If the source has already expired or a previous version never stored its image, a new retention choice cannot recreate missing evidence. Keep the original document separately when its complete pages or full resolution will matter later. This check ties retention to a concrete future use, such as reviewing an earlier notice, rather than choosing a setting without knowing which part of the record you expect it to preserve.
One step at a time.
- 01
Open source retention in the app’s settings.
- 02
Inspect the current policy on this device.
- 03
Choose Keep until I delete when long-term source history is intended.
- 04
Keep original files separately when their full fidelity matters.
A little reference.
Keep the context and your next action together.
| Choice | Use it for | Check before saving |
|---|---|---|
| Source retention | Supporting captured material | Inspect this device’s policy |
| Derived action | The saved task or note | Can outlive its source |
| Original file | Full source document | Keep separately when needed |
Will changing retention recover an image an older version never saved?
No. Older records cannot recover image data that was not stored by the version that created them.
