Deleting a capture is a local data decision. It does not automatically reach every original file, exported copy or connected service that may relate to the same matter.
Deletion has a boundary; know which copy or record you are actually removing.
Inspect linked context first
Open the record and understand what its source, summary and linked actions contain. Consider whether you still need its evidence before removing it. Expiring or deleting a source can remove that record from its dashboard; do not confuse that with resolving the underlying bill or request.
Manage other copies separately
Original files outside OneTap, plain JSON exports and external Google events have their own locations and controls. Deleting a source does not recall a message you already sent in another app. The free entry and AI counters also do not reset when you remove saved information.
Distinguish access from availability
List the copies and linked actions relevant to one source before deleting it. There may be a file in your downloads folder, a plain JSON export, a draft in another app and an external calendar event. Decide which of those you actually intend to remove and use their own controls where necessary. If your intention is only to stop a review prompt, inspect the task’s alert or completion controls instead of deleting its evidence. That distinction keeps local cleanup from unexpectedly removing useful dashboard context while leaving the unwanted external reminder unchanged. A careful deletion decision names the specific stored copy and understands what related information will remain afterward.
One step at a time.
- 01
Open the record and inspect its supporting source.
- 02
Decide whether its evidence still needs to be retained.
- 03
Delete the local source only when that is your intention.
- 04
Manage original files, exports and external events separately.
A little reference.
Keep the context and your next action together.
| Choice | Use it for | Check before saving |
|---|---|---|
| Local source | Captured supporting material | Affects local record history |
| Original file | File outside OneTap | Manage separately |
| External event | Connected calendar information | Not erased by capture deletion |
Can deleting sources create fresh free trials?
No. Removing saved information resets neither the three-entry allowance nor the successful AI trial allowance.
