A credit note can change what a provider says you owe without proving money was returned. Read the document’s purpose before choosing a spending status.
A credit document is evidence to interpret, not an automatic refund confirmation.
Start with the source
Check whether the source is an account adjustment, a promised refund or evidence of a completed refund. These can arrive with similar branding and reference numbers but describe different events. Keep the wording visible in the record notes.
Make the review useful
Do not enter an invented negative paid amount to force a dashboard total to match your expectation. The documented Bills workflow is not a complete credit-note accounting system. Use a clear non-expense document record when that better reflects the source.
Keep the next step clear
Create a follow-up to verify the outcome in the original provider or payment service. If you correct an earlier confirmed bill, explain why and check for duplicate receipts. A planned refund reminder is still separate from confirmed external settlement.
One step at a time.
- 01
Identify the exact type of credit or refund document.
- 02
Compare its reference with the original bill.
- 03
Keep unsupported payment assumptions out of spending confirmation.
- 04
Schedule a check of the actual refund or revised balance.
A little reference.
Keep the context and your next action together.
| Check | Example | Your next step |
|---|---|---|
| Credit note | Adjustment to provider account | Review its explanation |
| Refund promise | Money will be returned | Track as pending follow-up |
| Refund evidence | Outcome checked externally | Record what you verified |
Does a credit note always mean a bank refund arrived?
No. Verify the actual outcome with the original service; OneTap does not reconcile credit notes against your bank.
