OneTap runs on Mac, iPhone, iPad and Android, but those installations do not share a synchronized workspace. Decide where a task belongs before creating it in several places.
Separate devices can be useful as long as their separate data is an intentional choice.
Avoid competing copies
Adding the same document on two devices can create two independent records and reminder plans. Completing one does not update the other. If you intentionally maintain separate copies, make that choice visible in your notes rather than assuming a background account will reconcile them.
Plan transfers deliberately
Use original files or a deliberate export when you need another copy, and inspect the supported import or setup workflow before relying on a transfer. A JSON export is plain text, so store it privately. Buying or restoring Lifetime does not itself copy workspace data.
Make the first three entries count
Choose one active document and decide where its next reminder should appear. If your phone is the device you carry at the planned time, make that local task your working copy instead of expecting a Mac entry to arrive there later. You can keep an original file in another place you control without creating a second independent reminder plan. If you intentionally maintain two entries, inspect both when the task changes and acknowledge that completion is separate. This is a planning decision, not a sign-in problem. The useful question is which installation owns the action you intend to see, rather than which account should synchronize it automatically, because no such workspace account is used.
One step at a time.
- 01
Choose the device that will own an active task.
- 02
Create its reminders there instead of duplicating them casually.
- 03
Keep original source files in a location you control.
- 04
Review exports and transfer steps separately when changing devices.
A little reference.
Keep the context and your next action together.
| Choice | Use it for | Check before saving |
|---|---|---|
| Mac workspace | Data on that Mac | Independent from phone |
| Phone workspace | Data on that phone | Independent reminder plan |
| Store entitlement | Feature access | Not workspace synchronization |
Will a completed task disappear from all my devices?
No. Completion affects the local workspace where you made the change; OneTap does not provide cross-device sync.
