Photographing a letter works best when the image preserves the parts that explain the request. A tidy crop should not remove the sender, reference or response instructions.
Keep a photograph that explains the request, and retain the original when completeness matters.
Start with the source
Place the page flat and check that small text is legible before importing the image. Include the letter date and any reference number that distinguishes it from older correspondence. Keep your original paper if you need its complete legal or archival form.
Make the review useful
Review the recognized source text, then correct the sender, record date and document category. A useful summary should describe the request, while the source text remains available separately for details the summary leaves out.
Keep the next step clear
Create only the next action you intend to take. For example, “Prepare the requested address evidence” is clearer than “letter.” A review reminder can give you time to read the full original before you respond externally.
One step at a time.
- 01
Photograph the whole relevant page in readable light.
- 02
Import it and compare the heading and reference number.
- 03
Correct the category and summarize the actual request.
- 04
Choose a review time before saving the approved entry.
A little reference.
Keep the context and your next action together.
| Check | Example | Your next step |
|---|---|---|
| Heading | Sender and department | Use a label you will recognize |
| Reference | Application or case number | Compare the final characters carefully |
| Response | Documents requested | List the required items in the task |
Is the saved preview a full-resolution archive?
No. New image captures retain a normalized, compressed preview; keep the original document separately when you need the complete source.
