A pasted paragraph may contain a deadline but omit who sent it or what it refers to. Give the text enough context to create a useful action you can understand next week.
A short capture should still explain who, what and when.
Start with the source
Copy the relevant message, including its sender, subject and any stated dates. Avoid unrelated conversation history. If a request says “next Friday,” retain the message date so you can resolve the intended calendar date yourself.
Make the review useful
Paste into New capture and inspect the source reading before approving the proposed summary. Use a clear title such as “Send the repair photos to the service desk” instead of preserving an ambiguous phrase like “do this soon.”
Keep the next step clear
Review recipient information and the requested next step separately. A drafted reply is still editable, and opening an email or WhatsApp composer does not send it. Keep only the information needed for this task.
Your little checklist.
Copy the request with its identifying context.
Paste the text and inspect its proposed category.
Replace relative dates with a checked date and time.
Save the approved action with a title that names its purpose.
A little reference.
Keep the context and your next action together.
| Check | Example | Your next step |
|---|---|---|
| Sender | Apartment maintenance desk | Keep a recognizable provider label |
| Date | “Tomorrow” in yesterday’s message | Choose the intended calendar day |
| Action | Attach repair photos | Name the required attachment |
Should I paste an entire chat?
